Competency-based training through virtual learning environment in healthcare

Abstract

Introduction: Ensuring competency of laboratory and outreach staff is critical for maintaining quality, patient safety, and compliance with accreditation standards. Traditional training approaches are often inconsistent, difficult to monitor, and lack measurable outcomes. Digital solutions such as Virtual Learning Environments (VLE) provide an opportunity to standardize and enhance training effectiveness.

Methods: This quality improvement project is conducted using the DMAIC (Define, Measure, Analyze, Improve, Control) methodology. In the Define and Measure phases, baseline training compliance is identified at 62%, with limited documentation of competency assessments. The Analyze phase identifies key barriers, including inconsistent training delivery, time constraints, and lack of centralized tracking. In the Improve phase, a VLE platform is implemented to deliver structured quarterly training modules for laboratory and outreach staff.

Mandatory enrollment, digital dashboards, and key performance indicators (KPIs) are used to monitor training completion, assessment scores, and competency levels. The control phase ensures sustainability through continuous monitoring, with a target of achieving 100% training compliance.

Projected Results (April–June): From April to June, training compliance is expected to increase from 62% to 98%. Assessment completion rates are projected to improve from 58% to 96%. Real-time dashboards will enhance monitoring efficiency by 40%, and documentation of competency assessments is anticipated to reach 100%. Early identification of competency gaps will enable targeted interventions, reduce repeated errors, and improve overall staff performance.

Discussion: Integrating a VLE with DMAIC methodology and digital monitoring tools provides a systematic, measurable, and scalable approach to staff training. The use of KPIs and dashboards enhances transparency, accountability, and timely interventions. This technology-driven approach supports workforce development, aligns with digital health strategies, and strengthens quality improvement efforts in healthcare settings.

Conclusion: A competency-based training model using VLE, supported by DMAIC, KPIs, and digital dashboards, represents an effective “Tech for Life” solution. It improves training compliance, enhances competency assessment, and strengthens healthcare workforce preparedness and overall quality outcomes.
